Media Security
All of Excel’s concrete and steel storage facilities are electronically monitored 24/7/365. Data is stored in fire-rated, climate-controlled vaults, with heat and smoke sensors, and fire systems that include FM200 — the latest fire suppression system. We are fully compliant with the Health Insurance Portability and Accountability Act of 1996 (HIPAA), Sarbanes Oxley and the Graham Leachman Bailey Act. Excel Archives maintains a secure environment for our client’s confidential records and materials.
Our Security Protocol consists of physical security and electronic security.
Physical Security:
- Steel & concrete construction of our Records Center
- Media vault constructed of fireproof wall and ceiling materials
- Fire detection and sprinkler system
- FM200 Fire detection/suppression system for Media Vault
- Climate & Humidity Controlled
- Electronically monitored facility, video monitoring, motion detection and employee entry coding and logging
- Containers are randomly placed on steel shelves within 48 hours of receipt
- Data materials received are placed in the Media Vault immediately upon arrival at Excel
- During regular business hours our facility remains locked and all visitors seeking access must provide identification prior to entry
- Visitors to our facilities must sign a “Facility Access Log” and are escorted
- Authorized and verified release, access, or destruction of all materials
Computer Systems Security:
- Access to our software and data inventory systems is limited to those employees with network, operating system and application passwords.
- Additionally, our software allows for additional limited access to container inventory only by those approved users.
Excel Archives provides the following records management services:

- All files and boxes in our record centers are bar coded and entered into our electronic inventory database with full historical tracking.
- Rush delivery of any item in our inventory is available 24/7/365.
- Our record centers require key cards for access and utilize video monitoring for the highest level of security.
- Dedicated customer service available to answer your questions and provide solutions to your records management challenges.
